Hygienically Clean Audit Process

The Hygienically Clean Audit Process

Hygienically Clean certification requires your facility to pass an independent, third-party audit that confirms your dedication to compliance and processing using Best Management Practices (BMPs) as outlined in the Hygienically Clean standard. The focal point of the audit is the evaluation of your Standard Operating Procedures (SOPs) and demonstration of BMPs as described in your Quality Assurance (QA) Manual, along with HACCP principles, if applicable, that minimize risk.

The audit confirms essential evidence that:

  • Employees are properly trained and protected
  • Managers understand legal requirements
  • OSHA-compliant
  • Facility operates effectively

The Audit process consists of two parts:

  1. Initial review of your QA Manual conducted by the Auditor prior to your Audit.
  2. Comprehensive audit of your facility focusing on the demonstration of your SOPs as outlined in the QA Manual and the Hygienically Clean standard.

Creation of your QA Manual

An electronic QA Manuals must be created to document and demonstrate compliance with the Quality Assurance Program section of the Hygienically Clean Standard, which ensures that BMPs are documented and followed, and your facility complies with all federal, state, and local regulatory requirements.

The Standard provides you with a guide to documenting the policies and procedures your facility follows to produce Hygienically Clean textiles.

During the initial review of your QA Manual, your Auditor will review your QA manual to verify that the following policies and procedures are documented:

Best Management Practices (BMPs)

  1. Plant Facilities
  2. Housekeeping
  3. Laundry Process
  4. Hazard Analysis Critical Control Points (as applicable)
  5. Compliance with OSHA Regulations

During this review process, your Auditor will communicate with you via email regarding additional documentation that is required for a specific standard.

The second part of your audit process will be a comprehensive audit of your facility focusing on the demonstration of your SOPs and BMPs as outlined in your QA Manual.

Your auditor will begin by noting additional findings needed for compliance to a specific standard and may require additional explanation or clarification regarding a specific process or practice.

The auditor will then perform a thorough walk-through of your facility that includes observing your processes, demonstrations of compliance to each of the standards and communication with plant employees.

Your audit will conclude with the Auditor instructing you to select two textiles of their choice for microbiological sample testing.

You will be contacted directly by the Auditor to schedule your audit. Auditors must have access to your facility during normal business hours. Audits will be scheduled at a mutually agreeable time between both parties.

New Certifications
Once your facility is eligible for certification, you will be notified of your eligibility and will be contacted to schedule your audit. Requests for a specific timeframe are accepted and we will do our best to accommodate your request.

Renewals
To ensure audits are scheduled in a timely manner, notification of renewals will be sent 120-days prior to your expiration date by TRSA via email. Audits will be scheduled within 60-days of your expiration date to allow for adequate time to perform.

Once your audit is completed, you will be invoiced for the expenses incurred by the Auditor for onsite audits.

New Certification Audits
All new facilities seeking certification will require an onsite audit to validate compliance to the Hygienically Clean Standard.

Renewal Audits
All facilities seeking renewal of their certification may request an onsite or virtual audit to validate continued compliance to the Hygienically Standard.

Depot Audits
Depots are required to be audited to validate compliance to the Hygienically Clean Standard. You may request an onsite or virtual audit of your depot, regardless if it is a new certification or a renewal.

Supplemental Audits
An onsite supplemental audit will be conducted if your facility has failed three consecutive microbiological sample tests within a quarter.

All Auditors are selected based upon their extensive experience in the industry and are vetted for impartiality and conflict of interests. All auditors are required to undergo training that includes:

  • A comprehensive review of all Hygienically Clean Standards
  • In-person “mock” audits with a lead auditor
  • Virtual “mock” audits with a lead auditor

All Auditors are required to undergo annual retraining to ensure knowledge of the Standards and for consistency of the audit process.
